Job Summary The Construction Administration Specialist provides essential administrative and operational support to the construction team to ensure efficient office and project coordination. This role supports documentation, communication, scheduling, and basic project tracking to help maintain smooth day-to-day operations.
Key Responsibilities - Provide general administrative support, including filing, data entry, and document management.
- Prepare, organize, and maintain project documentation such as contracts, schedules, and reports.
- Assist in coordinating meetings, site visits, and internal communications.
- Maintain accurate records and organized office filing systems.
- Support procurement processes and liaise with suppliers for administrative requirements.
- Assist with basic budget tracking and expense reporting.
- Professionally handle and direct phone and email enquiries.
- Support the processing and management of permits, licenses, and routine compliance documentation related to construction projects.
Qualifications & Experience - Prior experience in an administrative support role
- Previous administrative experience within the construction industry is required
- Experience handling permits, licenses, and compliance documentation
- Experience preparing and organizing construction project documentation
- Familiarity with procurement processes and supplier coordination
- Experience with ServiceM8 or a similar CRM system is an advantage
Skills & Competencies - Proficient in Microsoft Office Suite (Word, Excel, Outlook)
- Strong organizational and multitasking skills
- Excellent verbal and written communication skills
- High attention to detail and accuracy
- Reliable, professional, and able to meet deadlines under pressure
- Team-oriented with a proactive approach to problem-solving
Work Schedule: - 7:00 AM - 4:00 PM Philippine Time (may change depending on the business need)
Work Setup: Home-based
- Must have at least 50mbps for both download and upload speed
- Must have own laptop/PC
