About the Role
  
We are looking for a proactive, highly organized, and detail-oriented Executive Assistant to support the Managing Director. This is a critical role designed to reduce administrative burden and allow the MD to focus on strategy, investment, and stakeholder engagement. If you're someone who anticipates needs, can juggle a busy calendar, and has experience with invoicing, travel, and presentation prep — we’d love to meet you.
  
Key Responsibilities
  
  • Diary and Inbox Management: Manage the MD’s calendar, coordinate internal and external meetings, and triage and respond to emails as needed.
  • Travel Coordination: Organize complex travel itineraries including flights, accommodation, and local logistics (both domestic and international).
  • Invoicing and Billing: Support with invoice creation, billing follow-ups, and liaising with finance stakeholders to ensure accuracy and timeliness.
  • Administrative Support: Handle general admin tasks such as document formatting, filing, data entry, and correspondence.
  • Presentation Support (Bonus): Assist with improving the layout and design of presentations, pitch decks, and investor reports using PowerPoint or similar tools.
  • Stakeholder Liaison: Communicate with investors, clients, and internal stakeholders on behalf of the MD as required.
  
Ideal Candidate
  
  • Previous experience as an Executive or Personal Assistant, ideally supporting a C-suite or Director-level executive
  • Exceptional organizational and communication skills
  • Proficiency in Microsoft Office (especially Outlook, Excel, and PowerPoint)
  • Experience with invoicing, billing, and travel coordination
  • Strong attention to detail and ability to work independently
  • High level of discretion and professionalism
  
Nice to Have (Bonus Skills)
  
  • Experience in financial services, investment, or professional services
  • Ability to visually enhance documents and presentations
  • Familiarity with finance or productivity tools (e.g., Xero, Monday.com, CRM systems)
  
Schedule:
6:00 AM - 3PM (Manila Time)
