Position Overview
The Project Manager will play a critical role in supporting the successful delivery of engineering projects from proposal through completion. Working closely with the Director and engineering team, the successful candidate will coordinate project activities, manage fee proposals, monitor project progress, and ensure deadlines and client expectations are met.
The role requires strong communication skills, attention to detail, and the ability to manage multiple projects simultaneously in a fast-paced environment.
Key Responsibilities
Project Management & Coordination
● Monitor and track multiple engineering projects simultaneously.
● Maintain project schedules, milestones, deliverables, and deadlines.
● Coordinate with engineers, consultants, contractors, and clients to ensure project progress.
● Facilitate project meetings and document action items and outcomes.
● Identify project risks, delays, or resource constraints and escalate where necessary.
● Ensure project documentation is accurate, organized, and up to date.
Fee Proposal Management
● Prepare, coordinate, and track fee proposals and quotations.
● Work closely with technical teams to gather scope, timelines, and pricing information.
● Monitor proposal pipelines and follow up on outstanding submissions.
● Maintain proposal records and reporting within the CRM system.
Client Communication
● Act as a key point of contact for clients regarding project updates and proposal status.
● Liaise professionally with clients, consultants, and internal stakeholders.
● Schedule meetings and coordinate communications between project teams and clients.
● Assist in maintaining strong client relationships through timely and professional communication.
Administration & Reporting
● Maintain project registers, status reports, and project tracking systems.
● Generate regular project performance and workload reports.
● Assist with resource planning and project forecasting.
● Support business operations through general administrative and coordination tasks.
● Ensure all project files and records are properly maintained.
Systems & Process Management
● Utilize HubSpot to manage proposals, client interactions, and project-related information.
● Assist with improving project workflows and operational processes.
● Support implementation and maintenance of project management best practices.
● Experience with Bluebeam is advantageous but not essential.
Skills & Qualifications
Essential
● Minimum 3 years' experience in Project Management, Project Coordination, Engineering Administration, or a similar role.
● Previous experience working within an engineering, construction, architecture, or technical services environment.
● Strong project coordination and organizational skills.
● Excellent written and verbal English communication skills.
● Ability to manage multiple projects and competing priorities.
● Strong stakeholder management and client-facing experience.
● Advanced proficiency in Microsoft Office Suite, particularly Excel, Word, and Outlook.
● Experience using CRM and project management systems.
Preferred
● Degree or diploma in Engineering, Project Management, Construction Management, Business Administration, or a related field.
● Familiarity with HubSpot CRM.
● Experience with Bluebeam software.
● Experience supporting Australian engineering or construction projects.
● Understanding of engineering project lifecycles and fee proposal processes.

Work Schedule:
Monday - Friday (6am - 3pm MNL time)
Must Have atleast 20mbps internet connection
Must be wiling to work (Office-based)
