Position Overview:
We are seeking an experienced administration assistant and detail-oriented Agile Project Coordinator to join our dynamic IT consulting team. The ideal candidate will play a vital role in supporting the team, creating and following processes documented in Confluence and facilitating Agile methodologies across projects, ensuring efficient planning, execution, monitoring, and closure. This role will also encompass quality assurance to ensure that team deliverables are of a high quality and accuracy before being delivered to our customers. This role does require excellent IT skills and a background in IT or Cyber Security.

Key Responsibilities:

Agile Project Coordination:
  • Collaborate with Agile teams to develop, refine, and manage project backlogs, sprint plans, and release schedules.
  • Support Agile ceremonies such as daily stand-ups, sprint planning, sprint reviews, and retrospectives.
  • Monitor team progress, identify potential roadblocks, and work with teams to address challenges in a timely manner.
  • Foster a culture of continuous improvement by helping teams adjust their processes based on retrospectives and feedback.
  • Act as a central point of contact for project-related inquiries, clarifications, and updates.
Administrative Duties:
  • Manage general administrative tasks such as managing IT tickets in ServiceNow, maintaining database records, data entry, scheduling meetings and handling correspondence.
  • Arrange and facilitate team meetings, including preparing agendas, recording minutes, and following up on action items.
Process Improvement:
  • Identify areas for process optimization and efficiency enhancement within the administrative department. Develop and implement strategies to streamline workflows and improve overall effectiveness.
Quality Assurance:
  • Assist in review of deliverables to ensure they meet customer standards by conducting regular reviews, identifying areas for improvement, and implementing corrective actions.
  • Review PowerBI reports for accuracy to maintain a high standard of reporting.
Confluence Documentation:
  • Create and maintain comprehensive process documentation in Confluence, ensuring that business processes and procedures are accurately captured and maintained.
  • Collaborate with the team to gather information and insights for process documentation.
  • Organize and structure Confluence spaces to facilitate easy navigation and access to process documentation.
  • Regularly review and update process documentation to reflect changes.
Qualifications:
  • Bachelor's degree in Business Administration, Information Technology, or a related field.
  • Proven experience (5+ years) in project coordination and general administration, within the IT industry.
  • Proficiency in project management tools and software such Jira/ClickUp and Confluence.
  • Strong organizational skills with exceptional attention to detail.
  • Excellent communication skills, both written and verbal.
  • Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
  • Problem-solving skills and the ability to adapt to changing project requirements.
  • Strong interpersonal skills to work collaboratively with diverse teams.
  • Familiarity with IT terminology and processes is a plus.
