Job Description

Seeking a detail-oriented and proactive Contracts Administrator to join our Legal team. This role is critical in managing the full lifecycle of contracts including client agreements, service provider contracts, vendor arrangements, and internal company agreements. The Contracts Administrator ensures compliance with internal policies, facilitates efficient contract workflows, and maintains accurate records of executed contracts.
  
Key Responsibilities 
Contract Lifecycle Management
  • Manage contracts from initiation through execution and closure for clients, vendors, service providers, and internal agreements (e.g., leases).
  • Intake & triage: Review incoming contract requests to ensure completeness and accuracy.
  • Contract generation: Create contracts using Ironclad templates and workflows, based on user-submitted forms.
  • Ensure all contracts comply policies and applicable legal/statutory requirements.
Review and Approval
  • Assist in the review of NDAs and Service Provider Agreements.
  • Route contracts through appropriate internal approval channels and finalize when complete.
Execution and Filing
  • Coordinate contract signatures in accordance with Signature Authority policies.
  • File fully executed contracts in the designated repository (e.g., Ironclad).
Reporting & Data Management
  • Tag contracts with key metadata (e.g., effective date, termination date, counterparty name).
  • Monitor dashboards to track contract status, bottlenecks, and turnaround times using Ironclad analytics.
  • Generate reports for Legal, Finance, InfoSec and Procurement teams on contract volume, types, compliance obligations, and performance metrics.
Internal and External Audit Support
  • Retrieve and provide executed contracts, amendments, and related documentation upon request.
  • Generate reports from contract databases to support audit documentation.
  • Review contracts to identify key financial terms (e.g., pricing, penalties, incentives).
  • Support finance teams in reconciling contract data with accounting records.
  
Qualifications 
  • 3–5 years of direct experience in contract administration is required, ideally within a multi-entity or consulting environment.
  • Bachelor’s degree in Business, Law, or a related field is preferred, but not required. 
  • Familiarity with various contract types: NDAs, MSAs, SOWs, vendor agreements, licensing agreements, etc.
  • Ability to interpret and apply common contract clauses (e.g., limitation of liability, confidentiality, renewal, termination).
  • Experience generating and interpreting contract-related reports and dashboards.
  • Professional communication skills with internal and external stakeholders.
  • Strong attention to detail in metadata entry and contract record management.
  • Proficiency in tools such as Salesforce, DocuSign, and Microsoft 365.
  
Preferred Skills 
  • Experience with cross-border or multi-practice contracting.
  • Prior use of Ironclad Contract Lifecycle Management Tool.
  • Ability to identify inefficiencies and recommend process improvements.
  • Experience supporting change management initiatives.
  • Strong collaboration skills across Legal, Finance, Sales, and IT teams.
  • Understanding of data privacy and information security principles as they relate to contract management.
